When it comes to creating a mailing list and making regular contact with your clients, you’ve probably got great ideas, but a lack of time in which to get it done. A Virtual Assistant can help with every step. From the creation of your mailing list to the production and dissemination of your newsletter and other mailings.
Some of the things a Virtual Assistant can help with are:
Creating the mailing list
A Virtual Assistant can take details from mailing list signup sheets, business cards, your client database etc. Then enter them in the correct format for import into your mailing software. A Virtual Assistant can tidy up lists of data that you’ve exported from your CRM.
Create the email
A Virtual Assistant can produce the email, proofreading your text, designing the layout and finding appropriate images if necessary. Your Virtual Assistant can also test your emails to be sure they look good in the inbox of recipients
Send the email
Prior to distribution your Virtual Assistant can check that messages send correctly, and minimise the chances of them being marked as spam or landing in the junk folder. A Virtual Assistant can ensure that emails go to the correct segment/s of your mailing list for a more targeted mail out.
Respond to queries
Your Virtual Assistant will take care of any responses to your customers, as well as forwarding emails for a relevant person to respond or actioning requests to change details or unsubscribe.
Maintain the database
A Virtual Assistant can maintain your subscription database, adding new subscribers on request and removing addresses that bounce back. A VA will also amend contact information in both your mailing list and CRM as necessary.
There are other things a Virtual Assistant could do to help with your mailing list, including setting up a newsletter opt in page on Facebook, your website etc. They may be able to create some of the content for you, research topics for inclusion, or contact your clients and suppliers to secure interesting items for inclusion in the mailings. Just discuss it with your Virtual Assistant and see work out what will be the most beneficial for you.
