When you decide to work with a Virtual Assistant one of the main reasons is often to get (and keep) workflows and processes organised. Fortunately, there are many online tools that can be used to help keep everything under control.
If you have cloud based tools that you already use, a Virtual Assistant should be able to work with them. If you don’t, a Virtual Assistant will have an arsenal of tools and ideas. As well as the knowledge on how best to implement them in your business.
Use free cloud base tools for simple items like diary management, file sharing and document storage. More in-depth things such as a CRM or Project Management software will probably come at a cost. But it’s generally well worth it if you take the time to find the solution which best suits your needs.
It’s worth keeping in mind that if you have existing solutions, check their terms of use to make sure you don’t need to purchase additional user licenses. A VA cannot log in using your password if you only have a single user license. Doing so is likely to result in problems further down the line.
If you need new solutions to organisational problems. Work with your Virtual Assistant to find the solutions that best suit your needs. When it comes to sourcing products to use, most Virtual Assistants will have hands-on experience with several different products as well as a network (or several networks) of other Virtual Assistants from whom they can get recommendations as to what works for them. Once new solutions and programs are in place, your Virtual Assistant can help with documentation. As well as to compile policy and procedure manuals.
A Virtual Assistant, their experience, and their networks are invaluable. So don’t be afraid to ask for input throughout the process, however don’t lose sight of the fact that in the long run, it’s your business and you have the final say on how things are done.
